This policy is for people who use milleniaaero.com, request a quote, book an air or ground shipment, receive a delivery, apply to drive, or text with dispatch. Millenia Aero Corp. (“Millenia Aero,” “we,” “us”) is a family-run expedited carrier. We haul time-critical freight in the United States and Canada. We are not a social network and we are not in the data business.

1. The rule we run on
We keep what we need to quote a lane, pick up a shipment, move it by truck or air, deliver it, bill it, and deal with a claim. We do not keep a side file for marketing.

We do not sell personal information. We do not rent it. We do not give it to a data broker. We do not use a shipper list, a consignee list, or a phone-number list to advertise for ourselves or for anyone else. We do not build advertising profiles. We do not feed customer files into an outside machine-learning model.

Inside the company, a record is visible to the people working that record. Dispatch sees the load. Billing sees the invoice. Claims sees a claim file. A driver on the trip sees the addresses and handling notes for that trip. Other staff do not get a spare login out of curiosity.

3. What we collect

From a shipper or a person requesting a quote

  • Name, company, phone, billing address, and the email address you choose to leave on a form.
  • Pickup and delivery addresses, dock hours, on-site contacts, appointment windows.
  • Shipment facts: pieces, weight, dimensions, commodity as you describe it, reference numbers, declared value if you declare one, whether the move is air, ground, or both.
  • Payment records. Full card numbers are taken by Square, not stored in our office systems. We keep the charge, the last four digits, and the card brand so an invoice can be matched.
  • Texts and messages you exchange with dispatch or billing, and notes from those conversations.

Created while the freight moves

  • Status updates and, where the service includes tracking, the location of the vehicle or the air movement while the shipment is in transit. Tracking is for the load. It is not a way to follow a person after delivery.
  • Air-waybill or house-bill data when the shipment goes by air, and the facts an airline or ground handler has to see to accept the freight.
  • Website logs: IP address, time, pages requested, browser type. Ninety days, unless a security review is already open.
  • EDI or API records if you ask us to hook your system to ours.

From a driver or owner-operator applicant
Applications run through IntelliApp / DriverAppOnline, which is not our website. That vendor’s policy covers the form while you are filling it out. What we receive from them — license information, work history, the items a regulated carrier has to review — stays in the hiring file. It is not mixed into the customer booking list and it is not used to advertise.

What we do not collect
We do not ask shippers or consignees for a Social Security number. We do not take biometrics. We do not scrape social media to build a file on a customer. We do not buy consumer data to “enrich” a shipping record. We do not infer health, religion, or politics from a freight booking.

4. What we will not do

  • Sell or “share” personal information as those words are used in California law, including for cross-context advertising.
  • Run advertising cookies, pixels, or partner ad tags on milleniaaero.com.
  • Send marketing texts or marketing messages unless you have asked for that separately. A pickup-window text, a delay text, or a proof-of-delivery text is not marketing.
  • Hand a phone number to a text-message aggregator for that aggregator’s own list.
  • Let an employee walk out with a customer list for any outside use.
  • Adopt a sale of data, or advertising use of data, without a rewritten policy, 30 days’ notice, and a fresh opt-in. That is not planned.

5. Who sees a record

  • Dispatchers and operations staff on the load.
  • Billing and collections on the invoice.
  • Claims staff if a file is opened.
  • A system administrator, to keep the system up or to restore a backup.
  • The driver or team assigned to the pickup and delivery, for that trip only. They do not receive a card number.
  • An airline, cartage agent, or ground handler, when the freight actually moves on their equipment. They get what the movement requires.

Outside the company, information leaves only when the work cannot be done without it.

  • The host that keeps the website online.
  • The text-message vendor that delivers an SMS you have a reason to receive. That vendor may see the destination number and the body of the message in order to send it. It does not get a license to market to that number.
  • IntelliApp, for driver applications.
  • Insurers and adjusters on a cargo claim.
  • Accountants and lawyers on a specific matter, under a duty of confidence.
  • A TMS, EDI, or API connection you authorized.

A valid United States court order, warrant, or lawful subpoena, or an inspection a transportation regulator is entitled to make, is the other exception. We do not volunteer a customer file to a stranger who merely asks. If we are allowed to tell you about a demand for your information, we will.

6. Texts
If you give us a mobile number in connection with a quote, a shipment, or an account, we may text about that matter: a dispatcher reaching you, a pickup window, a delay, a delivery attempt, a billing question you opened. Frequency follows the load. Carrier rates may apply.

Reply STOP to a Millenia Aero text and we will stop marketing-style and non-essential texts to that number. We may still place a voice call if a live shipment needs you. Reply HELP or call 650-491-0007 if the keyword does not work.

We do not sell mobile numbers. We do not use them for a third party’s campaign.

7. Cookies and the website
The site may set a session cookie so a form does not die mid-entry, and a cookie that remembers a cookie-banner choice if we display one. That is the intended set.

We do not run Google Ads, Meta Pixel, TikTok Pixel, or similar advertising tags. We do not sell space on the site.

If a leftover tag is found on a page, it should be treated as a mistake and removed, not as permission.

A Do Not Track signal is treated as a request not to track. Because we are not running ad trackers, there is little to switch off. We do not override the signal.

8. Location
When a shipment is sold as tracked, we record where the truck is — or the status of the air movement — while the freight is in transit. Live tracking ends at delivery. We do not sell the trace. We do not reuse a finished trip’s path to market anything. The history stays with the shipment file for the period in the table below.

An IP address can suggest a city. We do not use that guess for advertising.

9. How long we keep it
A freight file cannot be wiped the morning after delivery. Invoices and claim files have a legal life. The table is the outer limit on our ordinary systems. When the period runs, we delete the personal information or strip the names and numbers off, unless a claim, audit, or hold is still open.

If you ask us to delete sooner, we will, except for pieces we still have a legal duty to keep. We will tell you what cannot come out yet.

10. Security
No office can promise a system will never be broken. What we can say is how access is run: by role, over HTTPS on the public site, with passwords stored hashed, without full card numbers on our systems, and with access shut off when a person leaves. Paper, when we still have it, stays in the office.

If we learn of a breach that is reasonably likely to harm you, we will notify you and any regulator the law requires, without waiting for the story to travel some other way.

11. Your rights
You may ask us to give you a copy of what we hold, fix a wrong field, delete what we no longer have a legal reason to keep, close a website account, or turn off live tracking on a load you booked (status then depends on a phone call). Marketing is already off unless you asked for it.

A California authorized agent needs proof of authority and enough information for us to verify the consumer.

California
California residents have the CCPA/CPRA rights to know, access, correct, delete, opt out of sale and sharing, and limit the use of sensitive information. Millenia Aero does not sell personal information and does not share it for cross-context behavioral advertising. You may still ask us to say that in writing. We will not charge a different price or refuse service because you exercised a right.

Sensitive information we may hold in the ordinary course is account login data, if you have a login, and driver-applicant licensing data. Both are used only for the account or the hiring decision.

Other states
If you live in a state with a consumer privacy statute, you may request access, correction, deletion, and a portable copy to the extent that statute applies. Use the same contact method. If the statute gives you an appeal after a denial, send it the same way and mark it “Privacy Appeal.”

Canada and Europe
We haul to and from Canada. Canadian consignee details are used for the shipment, the invoice, and a claim. They are not a marketing list.

We do not advertise to the European public. If an EU or UK person still appears as a named contact on a North American shipment, we will honor an access, correction, deletion, or restriction request. We hold shipment data because we need it to perform the carriage and to keep records. We do not lean on “legitimate interests” to justify advertising, because we do not advertise with the data.

12. Children
The site and the freight service are for adults and businesses. We do not knowingly collect information from anyone under 16. If a parent thinks we have a minor’s information, contact us and we will delete it.

13. Other sites
A link off our pages is not a joint venture. IntelliApp, Square, and an airline portal each have their own policy. Read it before you type into that page.

14. Changes
A routine clarification gets a new date at the top. A material change — selling data, advertising with it, keeping it longer, or adding a new class of recipient — will be posted at least 30 days before it takes effect. Sale or advertising use of personal information would also need an opt-in. That is not planned.

The promises in sections 1, 4, 6, 7, 9, and 14 — no sale, no advertising use, limited texts, limited cookies, the retention table, and notice of material changes — are meant to be relied on.
